    Key Responsibilities:

    • Kitchen Flow: Collaborate effectively with the rest of the kitchen team (including prep cooks and dishwashers) to ensure efficient kitchen flow during peak hours.

    • Equipment Care: Ensure all kitchen equipment, especially the wok station, is maintained, cleaned, and operated safely.

    • Adherence to Standards: Follow all instructions and guidelines provided by the Head Chef regarding recipe execution, scheduling, and operational procedures.

    Qualifications:

    • Experience: Previous working experience as a Cook, Commis Chef, or similar role. 1-2 years of relevant experience is preferred.

    • Culinary Skill: Proven ability and experience in cooking Asian cuisine, with specific competence in Wok cooking techniques.

    • Work Authorization: Must be eligible to work legally in Singapore.

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide critical administrative and operational coordination support directly to the management. This role is essential for maintaining efficient internal processes, ensuring financial compliance, and supporting the smooth operation of all our establishments.

    Key Responsibilities

    The Executive Assistant serves as the central administrative and coordination hub for the group, with a strong focus on financial processes and compliance.

    Financial & Payroll Coordination

    • Invoice Management: Collect and submit all outlet invoices for payment processing by the external accountant.

    • Payroll Support: Coordinate with outlet managers to confirm the accuracy of all employee timesheets before processing monthly payroll.

    • Expense & Claims: Process and manage both employee claims and management's personal claims for timely payment.

    • Credit Card Reconciliation: Track, manage, and reconcile company credit card expenses before submission to the accountant.

    • Internal Billing: Keep detailed records and create internal invoices to bill for stock/inventory transfers between outlets.

    • Vendor Liaison: Communicate directly with vendors regarding outstanding invoices and payment statuses.

    Operational Reporting & Compliance

    • Sales Reporting: Provide daily sales summaries from all outlets and rigorously double-check that each outlet's closing reports are in order before submission to management.

    • License Management: Proactively monitor the validity and apply for the renewal of essential operational licenses (e.g., food/liquor licenses) for all establishments.

    • Work Pass Administration: Manage and oversee the application and renewal of work permits, Employment Passes, and S Passes for staff, ensuring continuous compliance.

    • Grant Management: Prepare and submit applications for relevant government grants, followed by the submission of claims after grant approval.

    • Compliance Tracking: Maintain a centralized compliance checklist for all necessary legal registrations, permits, and certifications.

    Procurement & Logistics Support

    • Sourcing: Source and procure miscellaneous operational items needed for the restaurants primarily using online platforms (e.g., Taobao).

    • Vendor Quotations: Source for competitive quotes from vendors occasionally for larger items or services (e.g., minor repairs, new equipment).

    Executive & Administrative Support

    • Document Management: Maintain and organize comprehensive physical and electronic filing systems (contracts, licenses, regulatory documents).

    • Correspondence: Handle incoming and outgoing administrative correspondence, screening and directing communications to the appropriate internal parties.

    • Meeting Coordination: Schedule and coordinate internal meetings, preparing necessary materials and accurately taking meeting minutes.

    • Internal Communications: Serve as a central point of contact for employee inquiries regarding administrative policies, timesheets, and claims processing.

    Requirements & Qualifications

    • Proven experience (minimum 1-2 years) in an Administrative, Executive Assistant, or Coordination role, preferably within the F&B or retail sector.

    • Demonstrated experience or fundamental knowledge of basic accounting procedures (invoicing, claims processing, reconciliation).
